Position Title: Development Assistant
FSLA Status:

Advancement Director & Alumni Program Manager
FTE: 1.0 (40 hours per week)

Position Summary:

Ensure continued financial support for Bishop Blanchet High School by providing administrative assistance and oversight for daily operations of the Annual Fund. Ensure accurate record keeping, communication and event management for the Alumni Program. Oversee school’s parent volunteer program including tracking hours and managing requests for volunteers. Assist with a variety of feasibility tasks leading up to a major capital campaign. Oversee patron solicitations, tickets, tracking and acknowledgements for the drama fundraising.

Annual Fund (35%)

1) Select and oversee vendors for design, printing and mailing of all Annual Fund materials

2) Prepare segmented lists for mailing of annual fund materials

3) Enter donations and pledges in Raiser’s Edge. Prepare timely acknowledgments for donors and maintain donor list on website. Send pledge reminders and process credit card pledge payments

4) Prepare list of gifts received at least 3x a week during the fall/winter months

5) Prepare call sheets and other materials for phone-a-thons. Secure volunteer callers and orient callers. Staff evening phone-a-thons and process all follow up materials after calling sessions

6) Prepare year-end mailing for selected individuals

7) Prepare year-end tax documents for all donors

8) Prepare donor lists for annual report

9) Process and acknowledge all memorial and honorarium donations

10) Provide monthly reports to finance on pledges outstanding and cash receivable

Named Scholarship Program (5%)

1) Oversee the process of student acknowledgement of scholarship donors twice annually

2) Arrange for an annual opportunity for students and scholarship donors to interact

Alumni Relations (20%)

1) Lead the creation of the alumni sections of the Brave News

2) Maintain and improve the alumni section of the Bishop Blanchet website

3) Oversee, develop and maintain the alumni database

4) Assist with event planning

5) Track alumni event registration, process payments, create guests lists, nametags, etc.

Volunteer Management (15%)

  1. Receive requests for volunteers from teachers and staff and solicit support from volunteer databases
  2. Work with volunteer who will fill roles and attend volunteer work events
  3. Maintain a database of hours worked by volunteers
  4. Enter and track all parent volunteer forms
  5. Provide reports on hours worked on a regular basis
  6. Acknowledge volunteers as appropriate

Capital Projects (15%)

  1. Provide database support for feasibility study and future capital campaign
  2. Conduct prospect research on alumni and past parents
  3. Assist with surveys, mailings, meetings as needed
  4. Assist with the creation of materials to support capital fundraising

Other Duties (10%)

  1. Oversee weekend spring interviews with incoming freshman families
  2. Provide occasional computer, design, database and technical support to other department members
  3. Other duties that may arise

Experience required

· BA or MA degree

· Minimum 3 years of professional experience in an office setting

· Extensive experience in computer applications including MS Word, Excel, email, databases (ideally Raiser’s Edge)

· Publication editing and writing experience

Qualifications required

· Excellent writing and editing skills

· Passion for and understanding of Catholic education

· Excellent interpersonal and public speaking skills

· Excellent customer service skills

· Ability to work independently and problem solve

· Extreme attention to detail and ability to balance multiple tasks and competing needs

This position requires some weekend, evening and summer work.
